Instructions for Using the Club System

Club Leaders Election

  1. Information Input: After the election, the new club leader should log in to the NTNU Information Portal“Student Clubs Information System”“Club Leader Information Input”. Once completed, please inform the counselor of student’s club
  2. Reference: “Student Club System User Manual”
  3. Deadline for Submission: 31/07/2025

Club Leaders Camp Registration

  1. Camp Dates: June 10 to June 13, 2025
  2. Participants: The primary participants are club leaders. There is no fee required.
  3. Registration Method: Log in to the “Student Club System” → “Club Leader Login” → “Club Leaders Workshop Registration”

Club Overview Information Form Filling

  1. Submission of Information: 3 club-related photo.
  2. Information Modification: Please log in to the NTNU Information Portal“Student Clubs Information System”“Club Leader Login” → select “Club Overview” to review and edit the information.
    • Submission Procedure: Please upload the soft copy to the Extracurricular Activities Group’s Network Attached Storage (NAS) server:
    • Photo Upload Format: Landscape-oriented and clear JPEG, PNG files.
    • Photo Selection: It is best to use images that can represent the activities of the club.
    • File Naming Rules: club number_club full name_ photo number【Example:1101_NTNU Youth News Club 01(Photos of the large-scale event organized by the club)】.
  3. Deadline for Submission: 22/07/2025

  1. Event Period: August 26 to September 5, 2025

Club Post Office Account and Seal Management

  1. Please proceed with the process of changing the person in charge of the club’s postal savings account before club handover.

  3. The Procedures are as Follows:
    • Postal account holder name remains unchanged: fill out the application form (sign and seal) → submit to counselor of student’s club
    • Changing the club leader’ name on the postal account holder: fill out the application form (sign and seal) → submit to counselor of student’s club for stamping → go to the post office to exchange → copy the cover of the new post office passbook → submit the cover of the new post office passbook to counselor of student’s club
    • Newly Formation Club: fill out the application form (sign and seal) → submit to counselor of student’s club for stamping → open an account at a post office → submit the cover of the new post office passbook to counselor of student’s club
  4. Date of Processing: 01/08/2025 to 19/09/2025 (Please reserve time for the processing schedule of the post office and the Extracurricular Activities Office.)

Appointment of Club Advisor

  1. Please proceed with the appointment and recommendation of the club advisor in accordance with Article 14, Chapter 3 of the Regulations Governing the Guidance for Student Clubs at National Taiwan Normal University after the club election is completed.
  2. Submission of documents:
    • Re-election: Please log in to the NTNU Information Portal “Student Clubs Information System”“Club Leader Login” → register the club advisor’s basic information→ print it out and have the advisor sign for confirmation → submit it to counselor of student’s club
    • New Appointment and Reappointment: Follow the same steps above (If the advisor is from outside the school, please also attach a copy of their ID card -front and back page, proof of education, and bank account information)
  3. The date of processing: 01/08/2025 to 19/09/2025 (Please reserve a schedule for the advisor’s signature.)
